General Information:

Black Hills Cabin Rentals (BHCR) is a booking agent/management company for vacation homes. These properties are independently owned. Lessee agrees to all terms and conditions of rental contract

BHCR will not be held liable for damages, losses, delay, or expense caused by weather or other circumstances beyond our control.

BHCR reserves the right to change accommodations without notice due to maintenance emergencies or sale of home. Attempts will be made to provide accommodations or upgrade at no additional charge.

IS THERE AN AGE REQUIREMENT TO RENT A CABIN?

BHCR requires that the individual renting the cabin must be at least 21 years old. A couple of our cabin owners require the age to be 25. If this is so, it will be noted on the cabin’s information page.

IS A COPY OF THE RENTER’S DRIVER’S LICENSE REQUIRED?

Yes, a copy of the renter’s driver’s license is required. BHCR also reserves the right to request copies of driver’s licenses from everyone who will be staying in the cabin.

HOW DO I MAKE A RESERVATION?

WHAT IS ACCEPTABLE PAYMENT?

BHCR accepts cash, check, Visa, and Master Card. There is a processing fee.

WHAT IS YOUR PAYMENT AND CANCELLATION POLICY?

In order to hold the cabin, the following is required:

  1. First night’s stay
  2. Accidental damage insurance ($45)
  3. Travel insurance (optional)

PAYMENT

In order to hold the cabin: 1-night stay, damage insurance ($45) and travel insurance (optional) are required to hold the cabin and is non-refundable should you cancel.

The remainder of the fees (cabin rental, sales tax, and cleaning) are due and non-refundable (30) thirty  days prior to the reservation date (unless otherwise stated).

CANCELLATION & RESCHEDULING POLICY

All cancellations must be confirmed in writing (30) thirty days prior to your arrival date. No monetary refunds are made if we receive a (30) thirty day notice you may reschedule within the calendar year, excluding the Sturgis Rally. If the holiday nightly rate is higher when you reschedule, you will be required to pay the difference. If you reschedule a holiday reservation for dates at the normal nightly rate, you will not be reimbursed the difference.

IS YOUR POLICY DIFFERENT FOR RALLY RENTALS?

In order to hold the cabin, the following is required:

  1. $500 down payment
  2. Accidental damage insurance ($45)
  3. Travel insurance (optional)

These are required to hold the cabin and are not refundable should you cancel. For additional travel security, we encourage CSA travel insurance. For more information, please click here. The remainder of the balance is due in two equal installments, January 1st and May 1st and non-refundable once paid.

ARE THERE MINIMUM DAYS REQUIRED TO RENT A CABIN?

Our cabins have a standard 2 day minimum rental requirement. However, some cabins require 3 or more days. If this is the case, it will be noted on the cabin’s information page.

WHAT IF THE RATES CHANGE?

Rates are subject to change without notice and are subject to availability.

WHAT HOLIDAYS APPLY TO THE HOLIDAY RATES?

  • Martin Luther King weekend
  • Presidents Day weekend
  • Memorial Day weekend
  • Independence Day (4th of July)
  • Labor Day weekend
  • Thanksgiving weekend
  • Christmas week through New Year’s (December 21 – January 5)

These holidays require a 2 night minimum, unless stated otherwise on the cabin’s information page.

WHAT ARE THE CHECK-IN AND CHECK-OUT TIMES?

Check-in is 4 p.m. (MT) and check-out is 10 a.m. (MT) Please follow these times.

IS SMOKING ALLOWED IN THE CABINS?

All cabins are non-smoking.

ARE PETS ALLOWED IN THE CABINS?

If pets are allowed in the cabins, it will be noted on each cabin’s information page.

ARE TENTS ALLOWED ON THE PROPERTIES?

No tents or any other kind of other camping are allowed on any of our properties.

ARE TENANTS ALLOWED TO HAVE CAMPFIRES?

Since our cabins are located in the Black Hills National Forest, all campfires and fire pits are strictly prohibited. If an individual(s) is caught having an outside fire, fines and jail time could be involved.

DO THE CABINS HAVE AIR CONDITIONING AND SATELLITE TV?

Unless stated under amenities of the cabin description, there is no air conditioning or satellite TV.

ARE DIRECTIONS PROVIDED AND HOW DO YOU GAIN ENTRY INTO THE CABIN?

The directions.. will be forwarded to you 3 days prior to your arrival.

WHAT IS PROVIDED IN THE CABIN?

Bed linens, towels, cookware, dinnerware and kitchen utensils are provided for basic vacation needs as well as a starter supply of  soap and paper products. If you run out,
you will need to get more.

WHAT IS BHCR POLICY FOR THE HOT TUBS?

The hot tubs are routinely serviced. If the hot tub becomes inoperable during your stay, and maintenance cannot be performed, please contact the office or our emergency number. Many times the cabins are rented back-to-back, and the hot tub may not be useable on the night of your arrival. There will be no refunds for an inoperable or cold hot tub. The renter assumes all responsibility for themselves and guests in the care and use of the hot tub.  Black Hills Cabin Rentals is not responsible for any act of negligence in the use of a hot tub or any accidents.  Extreme care and caution must be taken. Use at your own risk.

IF TRAVELING IN THE WINTER, DO WE NEED FOUR-WHEEL DRIVE OR CHAINS?

Yes, four-wheel drive is required.

WHAT IF SOMEONE IN OUR GROUP HAS AN EMERGENCY?

The Black Hills is equipped with 911-service.

WHAT IS EXPECTED WHEN WE DEPART?

  • If furniture is moved, it must be returned to the original location.
  • Our garbage service will not take garbage if not placed in bags. So please bag all garbage; break down boxes, bottle carriers, etc. and if possible place these in garbage bags. Put all garbage in the garbage cans upon departure.
  • Put all used towels in the bath tub or shower
  • If you are staying during the winter and you would like your decks free of snow there is a shovel at each cabin for your use.
  • Upon departure, please close and lock all windows and doors. Put the keys back in the lock box and scramble the numbers.

 

IF EXTRA CLEANING, MOVING FURNITURE, ETC. IS REQUIRED FROM OUR HOUSEKEEPERS; THIS COULD MEAN AN EXTRA CHARGE TO YOU. THE CREDIT CARD ON FILE WILL BE USED FOR ANY OF THE ABOVE OR DAMAGES.
